What is Hosted VoIP?

Hosted VoIP or also known as Unified Communication as a Service —UCaaS—is the delivery of communications and collaboration applications and services through a third-party provider over an IP network, usually the public Internet. In the beginning, UCaaS was synonymous with voice services and seen almost exclusively as a replacement for traditional phone services.

However, UCaaS has since become an umbrella term for a suite of business communication solutions: phone, email, voicemail and messaging.  UCaaS has developed from solely a communications solution into a broader collaboration and productivity tool in a relatively short time, adding significant value for customers of all sizes.

While UCaaS includes a wide variety of solutions, its evolution has created more ways for customers to improve their user experiences and increase organizational efficiencies. The growing number of integrations provides partners with new ways to approach customer who have been reluctant to move to the cloud and allows for expansion upon the services of those who have already made the move.

Gartner considers Unifed Communications as encompassing six main functions:

  •   Voice and telephony, including mobility
  •   Meeting solutions: audio, video and web conferencing
  •   Messaging: email with voicemail and unified messaging
  • Presence and Instant Messaging
  •   Clients (Including desktop clients and thin browser clients)
  •   Communications-enabled applications: integrated contact centers, communications platform as a service and workstream collaboration

Benefits of VoIP software

Benefits transitioning from on-premise legacy phone systems to cloud communication and collaboration software could not only yield cost savings, but increased revenue from improved workforce productivity and customer service.

1. Built In Redundancy

Inherently built upon a foundation of network redundancy and reliability, in the highly unlikely event of a data center issue such as loss of internet connectivity or power, your service will be covered by another data center, allowing for nearly seamless continuity of service.

2. Security

The leading UCaaS providers use world-class data centers with multiple layers of security and the required redundancy to make businesses feel confident their data is safe. Additional security features have become attractive for various verticals that have to adhere to specific compliance regulations, such as HIPPA, PCI and GDPR.

3. Flexibility/scalability

Unlike on-premises solutions, UCaaS is flexible and scalable, giving businesses the option of adding or subtracting users and expanding or cutting options and capabilities as needed. And because it’s a software as a service (SaaS) model, scaling up or down doesn’t require a huge investment of money or resources.

4. Reduced IT workloads/decreased maintenance

An internal IT team doesn’t need to manage time-consuming updates or security patches, which are administered by the provider, thus reducing the demand on internal IT departments.

5. Collaboration

Companies of all seizes are employing mobile and remote workforces, which have made real-time collaboration a must-have. With easy out-of-the-box collaboration tools as well as the ability to integrate a variety of other collaboration services, UCaaS offers a compelling and affordable solution.

6. Mobility

Today, business isn’t defined by 9 to 5 office work. People want to be able to work wherever and whenever they need to, meaning mobile integration is essential. UCaaS-native mobile integration provides advanced business calling features across multiple devices, such as softphones, as well as the ability for desk and mobile phones to ring—all simultaneously.

7. Open API

UCaaS doesn’t have to be a standalone product. The open API environment allows companies to integrate other software solutions, such as Office 365, Dropbox and Skype for Business into their UCaaS platform.

Technology Advice

WHY DO YOU NEED IT?

Unified Communications offers organizations a cohesive system of communication. It enables employees to better connect with one another, remote offices, and customers, while giving management a better understanding of communication expenditures. Unified communications as a hosted, managed or usage-based solution delivers the added bonus of provider-supported maintenance, customer care, and technical support.

Common Pain Points

  • Are you frustrated with your current voice system(s)?
  • Does your contract with your carrier expire soon?
  • Does your business operate multiple sites with different phone numbers?
  • Are you having call flow issues?
  • Are you paying hundreds to thousands of dollars in monthly local and long-distance charges?
  • Are you looking for more productive email and voicemail capabilities?
  • Are you having network problems, or do you need to upgrade your network?
  • Do you want one main phone number that encompasses all of your locations?
  • Is your IT team spending too much time and effort managing your phone system?
  • Are your phone system’s mobility limitations making it difficult for employees to work remotely?

Hosted VoIP has already become widely adopted by businesses around the globe, and Market Research Store forecasts a compound annual growth rate of 9.1 percent between 2016 and 2021.

POTENTIAL CHALLENGES AND CONSIDERATIONS

Some companies are hesitant to move to the cloud and prefer to keep solutions on-prem for several reasons, including security, data and disaster recovery, and business continuity. With Unified Communications as a Service, as with all cloud-based solutions, the provider takes on the task of updating software. With UCaaS, your internal IT team doesn’t have to manage time consuming updates or security patches. As in-house systems reach end of life, cloud-based solutions adapt with better and more enforced security and privacy policies. In the event of a disaster, UCaaS allows employees to stay in touch with whatever devices are available. Disaster Recovery is often one of the biggest reasons to look at a cloud UC solution.
